What is Inbox3 and how does it work?

You review your digest in 2 minutes, handle what matters, and move on — without scrolling through your entire inbox.

It's not an email client. You keep using Gmail for everything. Inbox3 is the decision layer that answers "What needs me today?" before you open your inbox.

How do I connect my Gmail account?

Accepted Answer

Go to Settings → Connected Accounts and click "Connect Gmail." You'll be redirected to Google's OAuth screen where you authorize read-only access. The entire process takes about 60 seconds.

After connecting, Inbox3 syncs your last 90 days of email history to learn your sender patterns, relationships, and priorities. This initial sync takes 2–5 minutes.

When will I see my first digest?

After connecting Gmail and completing the initial sync, you can generate your first digest immediately by clicking "Generate Digest" on the main dashboard. After that, digests are generated automatically at your configured time each morning (default: 8:00 AM).

What happens during the initial sync?

During the initial sync, Inbox3 analyzes your last 90 days of email to understand your inbox:

• Who emails you most and how you respond
• Which senders are human vs. automated
• Your newsletter and notification patterns
• Your reply rates and response times
• A behavioral profile of your email habits

This gives the AI enough context to make intelligent decisions from day one. Email content is processed in memory and never stored.

Question 5

Why does my digest show only 3 items?

Three is the default because most people have 2–4 genuinely urgent emails per day. The constraint forces the AI to be selective — "these 3 are what truly need you."

Pro users can increase this to up to 10 items in Settings → Digest Preferences. The AI stays just as selective regardless of the count.

Question 6

What if the AI misses an important email?

Accepted Answer

Your regular Gmail inbox stays completely untouched — Inbox3 is additive, not a replacement. If you think something was missed, check the "Filtered" page to see what the AI skipped and why.

You can mark any filtered email as "This was important" — the AI learns from this feedback and adjusts for next time. You can also add critical senders to your VIP list so their emails always appear.

How does snoozing work?

Accepted Answer

Snooze defers an email to a future date. Choose Tomorrow, Next Monday, Next Week, or pick a custom date. The email disappears from today's digest and reappears on the selected date as a high-priority item.

Snoozing does NOT reduce the sender's importance — it means "this matters, but not today." View all snoozed items at any time on the Snoozed page.

How do AI reply drafts work?

Accepted Answer

Click "Draft Reply" on any digest item and choose a tone: Professional, Casual, or Concise. The AI generates a contextually appropriate reply in 2–3 seconds.

The draft appears inline with a Copy button. You copy it, open Gmail, and paste it yourself. Inbox3 never sends email on your behalf — you always review before sending.

Free plan: 1 draft per day. Pro: unlimited.

What does "Not Important" do?

Accepted Answer

Marking an email as "Not Important" sends a strong signal to the AI. You'll be asked why:

• "I don't care about this sender" — blocks them from future digests
• "Didn't need my action" — reduces the sender's priority
• "Marketing / promotional" — reclassifies the sender as marketing (pre-filtered)
• "Already handled elsewhere" — no penalty, just a note

Each option teaches the AI differently. Be specific for best results.

Question 10

What does "Your inbox is quiet today" mean?

Accepted Answer

It means the AI scanned your inbox and found nothing that requires your action. This is the ideal state — not an error.

Your emails are still in Gmail, untouched. The AI just determined that none of them need a reply, approval, or decision from you right now.

How does the AI decide what's important?

Accepted Answer

The AI uses six signals to rank every email:

1. Reply rate — how often you respond to this sender (strongest predictor)
2. Sender importance — computed from interaction history and relationship strength
3. Urgency — detected from email content (deadlines, keywords, tone)
4. Content similarity — compared against emails you've previously acted on
5. Expected action — based on the sender's typical pattern
6. AI confidence — how sure the classification model is

These signals are weighted and combined. The top-scoring emails make your digest.

Question 12

How does Inbox3 get smarter over time?

Accepted Answer

Every action you take feeds back into the AI:

• "Done" boosts the sender's importance score
• "Archive" slightly reduces it
• "Not Important" strongly reduces it (or blocks the sender)
• "Snooze" is neutral — it means timing, not relevance

After 2 weeks, the system has enough feedback to noticeably improve. After 30 days, the digest feels personally curated.

What is Sender Intelligence?

The Intelligence dashboard shows how the AI classifies every sender in your inbox:

• Key Person — someone you actively email with
• Useful Alert — automated but you act on it
• Newsletter — subscription email
• Marketing — promotional content
• Automated / Noise — notifications you ignore

You can see importance scores, reply rates, and relationship strength for each sender. The AI also suggests VIP candidates and senders to block.

What are VIP senders?

VIP senders always appear in your digest, regardless of AI scoring. Even if the AI thinks their email is low-priority, VIP status overrides it.

Use VIP for people whose emails you never want to miss: your CEO, biggest client, spouse. Most users set 3–5 VIPs.

Manage VIP senders in Settings → Filtering.

Is it safe to give Inbox3 access to my Gmail?

Accepted Answer

Yes. Inbox3 uses the gmail.readonly OAuth scope — we literally cannot send, delete, or modify any email in your inbox. This is enforced by Google at the API level, not just by our code.

OAuth tokens are encrypted with AES-256 via AWS KMS. We never store email bodies — content is processed in memory and immediately discarded. Only metadata (sender, subject, date) and AI-generated summaries are stored.

What data does Inbox3 store?

We store:
• Your account info (name, email, preferences)
• Sender metadata (who emails you, how often, reply patterns)
• AI-generated summaries and scores
• Your actions (done, snoozed, archived)

We do NOT store:
• Full email bodies or attachments
• Email content beyond the subject line and a snippet
• Data from any Google service other than Gmail

Email content is processed in memory during classification and immediately discarded.

Question 17

Can I delete all my data?

Accepted Answer

Yes. Go to Settings → scroll to the bottom → "Delete Account." This permanently removes everything: your account, OAuth connections, digests, sender profiles, scores, embeddings — all of it.

Zero retention. No "we keep your data for 30 days" policy. Once deleted, it's gone.

Question 18

Is my email data used to train AI models?

Accepted Answer

No. We use Anthropic (Claude) and OpenAI APIs for email classification and draft generation. Email content sent to these APIs is not used to train their models — we have data processing agreements in place with both providers.

Your email is used exclusively to generate your personal digest. Nothing else.

Question 19

How do I disconnect my Gmail?

Accepted Answer

Go to Settings → Connected Accounts → click "Disconnect" next to your Gmail account. This immediately revokes Inbox3's access to your Gmail.

You can also revoke access from your Google Account: Google Account → Security → Third-party access → Remove Inbox3.

What is a Founding Member?

The first 100 users who sign up automatically become Founding Members. You get Pro locked in at $5/month (₹299/month in India) forever — the regular price is $8/month (₹499/month in India).

Founding Member status is permanent as long as you stay subscribed. If you cancel and resubscribe later, the founding price expires.

Can I cancel anytime?

Accepted Answer

Yes. Free plan works forever with no card required. Pro can be cancelled anytime — you keep access until the end of your billing period.

Does Inbox3 work with Outlook?

Accepted Answer

Gmail is supported today. Outlook (Microsoft 365 and personal) support is coming soon and will be available to Pro users.

Question 24

My digest isn't generating. What should I do?

Accepted Answer

Check these things:

1. Is your Gmail still connected? Go to Settings → Connected Accounts. If it says "Needs reconnect," click Reconnect.
2. Has the sync completed? If you just connected, the initial sync may still be running (2–5 minutes).
3. Is your digest time set correctly? Check Settings → Digest Preferences for time and timezone.
4. Try clicking "Generate Digest" manually on the dashboard.

The AI keeps showing me emails I don't care about.

Accepted Answer

The AI needs feedback to improve. Here's what to do:

1. Mark irrelevant items as "Not Important" — choose the specific reason
2. Block persistent noise senders in Settings → Filtering
3. Add your most important contacts as VIP
4. Give it 1–2 weeks of consistent feedback — accuracy improves significantly

If a sender keeps appearing despite feedback, block them directly. The AI won't override explicit blocks.

Question 26

Why does my Gmail keep disconnecting?

Accepted Answer

Gmail tokens can expire if:

• You changed your Google password
• You revoked access in Google Account settings
• Google's security review flagged the connection
• The token expired after a long period of inactivity

Reconnect from Settings → Connected Accounts → Reconnect. This takes 10 seconds.

Question 27

Why is my digest taking a long time to generate?

Accepted Answer

Digest generation typically takes 10–30 seconds. Factors that can slow it down:

• High email volume (200+ emails in the last 24 hours)
• First digest after connecting (initial classification is more thorough)
• AI service latency (rare, usually resolves within a minute)

If it takes more than 60 seconds, try refreshing the page. The digest generates in the background.

Question 28

I received an important email but it didn't appear in my digest.

Accepted Answer

Check these possibilities:

1. Was it received after your digest was generated? Digests scan the last 24 hours at your configured time.
2. Was the sender blocked? Check Settings → Filtering → Blocked Senders.
3. Was it a newsletter or automated email? These are pre-filtered by default.
4. Check the Filtered page — you can see exactly why it was excluded and mark it as important.

For critical senders, add them to your VIP list to guarantee they always appear.
